Bride&Groom.video partnered with Markupus to create a simple Client Area that would bring together all their tools like Trello, Dropbox, and Frame.io, while keeping their data in HubSpot. They wanted an easy-to-use system where clients could track projects and manage orders in real time, making things smoother for both their customers and the team.

Challenges and Goals

As BnG grew, managing multiple platforms for tasks, storage, payments, and client communication became overwhelming. The key challenge was maintaining fast, efficient service, especially across various time zones. To solve this, they aimed to create a unified Client Area where clients could manage orders, communication, and payments in one place.

From No-Code to a Custom HubSpot Solution

BnG initially explored no-code solutions like FormCraft and Zapier for their Client Area, but they lacked support for real-time pricing and data integration. We then decided to build a custom HubSpot-integrated solution, streamlining client interactions, connecting essential tools, and creating an efficient system that allowed BnG to manage more projects without additional staff.

Managers’ Perspective

The Bride&Groom.video platform simplifies project management for managers, eliminating the need for IT support. With HubSpot and Rest API integration, managers can easily update, create, or modify projects, even after submission. They can access client accounts to assist with changes and manage all features independently.

From their Hubspot dashboard, managers can oversee multiple projects at once, assign tasks, track real-time progress, and prioritize tasks with ease. The platform also provides full data access, allowing managers to view and edit deadlines, revisions, and payments. Also, the integrated CRM gives clients a complete project history, ensuring transparency and smooth communication.

 

Inbox

As part of the custom solution, we implemented a built-in email inbox within the Client Area. All emails are first logged into HubSpot, and from there, integrated into the Client Area. It functions like a built-in Gmail, allowing clients and managers to view all project-related communications in one place.

Project Page

Each project has its own page where clients can track statuses, progress, order totals, and payment history. Clients can review, approve, and even pay custom HubSpot invoices directly through the portal.

The main advantage of the Client Area is the significant reduction in the time it takes to order a project. Before its implementation, potential clients reached out via their website form, and everything had to be handled manually — communication, order processing, payments, and follow-up questions. This process was not only time-consuming but also required additional managers to keep up with the volume.

Now, thanks to automation, a single manager can efficiently manage a much larger client base. Clients no longer need to contact Bride&Groom.video directly — they can simply log into the Client Area and place orders effortlessly. Since launching the Client Area in October 2023, Bride&Groom.video has already generated $400,000 in additional revenue compared to the previous year.
